Our client who is into "Pharmaceutical Equipment" is looking for an experienced "Coordinating Manager" to work in their Colombo office immediately.


SALARY: Negotiable


ROLES & RESPONSIBILITIES:


  • Follow office workflow procedures to ensure maximum efficiency.
  • Maintain personnel files and records with effective filing systems.
  • Manages documentation, including contracts, maternity documentation, and sickness documentation.
  • Responds to recruitment inquiries.
  • Schedules interviews with hiring managers and coordinates the group interview process.
  • Organizes staff meetings and executive schedules.
  • Coordinates corporate events.
  • Manages correspondence with service vendors.
  • Caters to customer complaints in a timely and efficient manner.
  • Processes paperwork for customers and employees.
  • Communicates with staff for the purpose of ordering office supplies and planning meeting rooms.
  • Monitor office expenditures and handle all office contracts. (Rent, Service, Etc.)
  • May participate in billing and accounting duties, including resolving billing questions and managing invoices.

QUALIFICATIONS & EXPERIENCES:


  • Age between 30-45 years. (Female)
  • Degree in Business Administration or a relevant field is a plus.
  • 3-5 years work experience as an Office Coordinator or in a similar role.
  • Prior Experience as an Office Manager Preferred.
  • Experience in customer service will be a plus.
  • Excellent communication skills in both written and spoken English, Sinhala.
  • Strong IT skills are a must. (Email, Internet, MS-Office, etc.)
  • Time management skills, including the ability to efficiently multitask when necessary.
  • Advanced proficiency in managing documents, spreadsheets, and databases.
  • Exceptional filing, recordkeeping, and organizational skills.
  • Knowledge of basic bookkeeping principles and office management systems and procedures.
  • Working knowledge of office equipment. (Printers, Copiers, Scanners, Fax Machines, Etc.)
  • Proficiency in appointment scheduling and call forwarding systems.
  • Ability to correspond independently.
  • Ability to follow confidentiality guidelines.
  • Ability to liaise internally and externally on administrative matters.
  • Team player with a pleasing personality.
  • Reliable with patience and professionalism.
  • Living within close traveling distance to Colombo is preferred.
